Halaxy and Power BI: How to Build a Clinic Dashboard Owners Actually Use

Halaxy reports answer one question at a time. How to build a Power BI dashboard for utilisation, revenue per clinician hour, billed vs received and cancellations.
Halaxy Power BI clinic dashboard

Halaxy has good reports. The trouble is that they answer one question at a time, and a practice owner usually wants five answers on one screen: how busy each clinician is, what was billed, what was actually paid, where the gaps are and how this month compares with last.

That is where a Power BI dashboard helps. We have been connecting Halaxy to Xero, MYOB, QuickBooks and Power BI for Australian clinics for more than five years, and this is how we approach a dashboard that owners actually open, rather than one that looks good in the handover meeting and is never used again.

Start with the decisions, not the data

Before building anything, list the decisions the dashboard should support. In most practices they are:

  • Do we need another clinician, or more hours from existing ones?
  • Which services, funding types or locations are profitable?
  • Where is money billed but not yet received?
  • Are cancellations and no-shows getting worse?
  • Is each clinician’s caseload sustainable?

Each decision becomes one page or one visual. Anything that does not support a decision is left out.

The five metrics most clinics need

MetricWhy it matters
Utilisation per clinicianBooked hours as a share of available hours shows capacity and burnout risk
Revenue per clinician hour, by funding typeShows whether private, Medicare, NDIS, DVA and WorkCover work each pay their way
Billed vs receivedHighlights unpaid invoices and claiming problems early
Cancellation and no-show rateLost capacity you can often recover with reminders or policies
New vs returning patientsShows whether marketing and referrals are working

How the data gets from Halaxy to Power BI

A reliable setup has three parts:

  1. Extraction. Data comes out of Halaxy on a schedule, through available APIs or report exports, depending on what each data set supports.
  2. A small data store. The data lands in a database you own (for example, Azure SQL), where it is cleaned and joined with data from your accounting and payroll systems.
  3. Power BI. The dashboard reads from that store and refreshes automatically, usually daily.

Skipping the middle step and pointing Power BI straight at exported spreadsheets works for a month, then breaks the first time a column changes or someone saves over the file.

Want one dashboard for the whole practice?

We connect Halaxy, Xero or MYOB and payroll into a Power BI dashboard that refreshes itself. Your data stays in accounts you own.

Design rules for a dashboard people use

  • One page per audience. Owners, practice managers and clinicians want different views.
  • Trends over snapshots. Show the last 12 weeks, not just this week.
  • Plain labels. “Unpaid more than 30 days” beats “AR > 30”.
  • Targets on the chart. A utilisation line means little without the target line next to it.
  • Privacy by default. Most views do not need patient names. Show totals, and restrict any drill-down to the people who need it.

Combining Halaxy with accounting and payroll

The real value comes when Halaxy data is joined with costs. Wages from payroll and expenses from Xero or MYOB turn “revenue per clinician” into “margin per clinician”. With HPSS Award rates rising from 1 October 2026 and some NDIS price limits falling, that margin view matters more than ever. Our guide to NDIS 2026-27 claiming codes explains why consistent billing items also make reporting far more accurate.

What it costs

A single-clinic Halaxy to Power BI dashboard is a contained project, usually a few weeks from scoping to handover. Multi-location practices, multiple data sources and custom calculations take longer. Ongoing costs are mainly Power BI licences and a small cloud database. We give a fixed-scope quote after a short discovery.

FAQ

Does Halaxy connect to Power BI directly?

Halaxy’s documented integrations focus on accounting and payments. Getting data into Power BI usually needs an extraction step that we build and maintain.

How often does the dashboard update?

Typically once a day overnight. More frequent refreshes are possible if a decision needs it.

Can clinicians see their own numbers?

Yes. Power BI row-level security lets each clinician see only their own data.
