Halaxy gives clinics two integrations that most practices underuse: online bookings on your own website, and two-way sync with the calendars practitioners already carry on their phones. Set up well, they cut phone bookings and double-booking. Set up badly, they send patients to a generic page and create phantom appointments.
This guide covers the options Halaxy provides, their limits, and when it is worth building something custom around them.
Adding Halaxy online bookings to your website
Halaxy offers four ways to connect bookings to your site, according to its integration guide:
| Option | How it works | Best for |
|---|---|---|
| Embed code | An iframe that shows the Halaxy booking page inside your website | Keeping patients on your site |
| Booking button | An HTML button linking to a practitioner’s booking page | Practitioner profile pages |
| Direct links | URLs for a practitioner, location, service or appointment type | Service pages, emails and ads |
| QR codes | Printable codes that open a pre-filled booking page | Reception, flyers and referral letters |
Tips for a better booking experience
- Link to the right step. Use appointment-type links on each service page, so a patient reading about physiotherapy lands on physiotherapy bookings, not a list of every service.
- Restyle the button. The default button is a Halaxy logo. Halaxy notes that you can change its appearance with HTML, so match it to your brand.
- Check the embed on mobile. Iframes can create awkward double scrolling on phones. Test on a real device, and use a full-page link instead if the embed feels cramped.
- Track bookings. Tag booking links with UTM parameters so you can see which pages and campaigns bring patients in.
- Keep your site fast. Load the embed only on the booking page rather than every page of the site.
If your site runs on WordPress, the embed code can go into a Custom HTML block or an Elementor HTML widget. If your site needs a refresh, see our website development service.
Two-way calendar sync
Halaxy’s two-way calendar sync works with Google, iCloud, Outlook, Exchange and Office 365 calendars. Practitioners see their Halaxy appointments on their phone, and personal commitments block time in Halaxy.
Limits to know before switching it on
- Only new and future appointments sync. Past appointments are not copied to the external calendar.
- Appointments made in your external calendar sync for up to 201 days ahead.
- Appointments created in an external calendar arrive in Halaxy as personal appointments. They must be edited manually to become patient appointments.
- Appointments linked to clinical notes or invoices will not be deleted in Halaxy, even if removed from the external calendar.
- Deleting three or more appointments at once needs manual confirmation before it syncs.
- The initial sync can take one to two hours.
Setting it up well
- Use a dedicated work calendar for the sync, not a shared family calendar.
- Agree a rule for the team: patient appointments are always created in Halaxy.
- Choose what personal events show in Halaxy (busy only, or full details) with privacy in mind.
- Test with one practitioner for a week before rolling it out to everyone.
Want bookings that feel part of your website?
We build clinic websites with Halaxy bookings built in, and connect them to your marketing and reporting.
When a custom integration makes sense
Halaxy’s built-in tools cover most single-location practices. Clinics usually come to us when they need:
- A booking experience inside a custom website or app, beyond what an iframe allows.
- Bookings connected to marketing systems, such as HubSpot, so new-patient bookings trigger welcome emails and enquiries are tracked from first click to first visit.
- Multi-location reporting in Power BI, combining bookings, utilisation and revenue across clinics.
- Microsoft 365 workflows for rostering, rooms and staff scheduling alongside Halaxy.
- Finance connections beyond the native sync. See our guide to Halaxy Xero integration.
We use Halaxy’s supported integration options and keep patient data in accounts the clinic owns, moving only the fields each workflow needs.
