Halaxy’s September 2026 release is one of its most practical in a while. The AI Practice Assistant is now open to every user, linked fees take the guesswork out of billing multi-part appointments, reminder settings can finally differ by location, and patients can request prescription repeats through the portal.
Here is what each feature does, who should switch it on first, and what to check before you do. We have been connecting Halaxy to Xero, MYOB, QuickBooks and Power BI for Australian clinics for more than five years, so we have also noted where these changes affect reporting and integrations. If you missed the previous round, see our summary of Halaxy’s July 2026 updates.

Practice Assistant: useful, but set the boundaries first
Halaxy says the Practice Assistant answers questions such as where a setting lives, when you are next free or which invoices are overdue. It opens beside the screen you are working on, uses the Halaxy Help Guide and your practice data, costs nothing extra, and lets you control what it can access.
Before switching it on for everyone:
- Decide what it can see. Reception may not need access to clinical information through the assistant.
- Treat answers as a starting point. Check anything that affects a patient, invoice or claim.
- Add it to your AI register and policy. From 10 December 2026, organisations covered by the Privacy Act must describe in their privacy policy any computer programs that make, or substantially help make, decisions that significantly affect people. A help assistant is unlikely to be in scope on its own, but keep the list current.
Linked fees: fewer missed charges
Linked fees let you connect fees that usually happen together. Book the main fee and Halaxy creates an appointment for each linked fee and places them on one invoice in your chosen order. Each fee keeps its own item number and duration, and you can link a cancellation fee that swaps in automatically if the appointment is cancelled.
For practices that bill travel, report writing or non-face-to-face time alongside sessions, this closes one of the most common revenue leaks: the extra item that never gets added. It also pairs naturally with the NDIS suffix codes introduced this year. We explain how to set those items up in NDIS 2026-27 claiming codes.
Want to see whether linked fees are being billed?
We build reports that compare appointments, linked items and invoices, so missing charges show up before month end.
Reminder settings by location
Reminders can now be set at the practice group, location or practitioner level. A location with a different no-show pattern, or a practitioner who works in a hospital setting, can use different timing and wording while everyone else keeps the default.
If your reminders go by SMS with a business name as the sender, make sure the sender ID is registered, or messages may arrive as “Unverified”. See our SMS sender ID guide.
Prescriptions: auto share and repeat requests
Auto Share Prescriptions sends each prescription to the patient portal automatically once switched on, and you can share several at once from the prescriptions report. Repeat requests let patients ask for a repeat in the portal; you are notified, can message the patient for more detail, then approve, and Halaxy creates the repeat. Agree a turnaround time for requests and who checks them when a practitioner is away.
What this means for integrations and reporting
- Linked fees produce more line items per invoice. If you sync to Xero or another system, check the mapping for travel, reports and cancellation items.
- Location-specific reminders make it easier to compare no-show rates by location, which is worth adding to any dashboard.
- Portal activity (shared prescriptions and repeat requests) is a new workload to measure if you track admin time.
Our guide to building a Halaxy dashboard owners actually use covers the metrics worth tracking.
FAQ
Does the Practice Assistant cost extra?
Halaxy says it is included at no extra cost. Check Halaxy’s site for current pricing.
Will linked fees change our Xero sync?
They may add more line items to invoices. Test a few invoices end to end and check that each item maps to the right account.
